How to Track Team Certifications

What is certification tracking? Certification tracking is where you record your team's external qualifications — such as Food Safety Supervisor (FSS) certificates, First Aid, and Responsible Service of Alcohol (RSA) — alongside their issue and expiry dates. Instead of chasing paper certificates or spreadsheets, you keep every qualification in one place and let FoodSafety HQ remind you before anything lapses. Keeping current records matters. Under the FSANZ Food Safety Standards, food handlers must have skills and knowledge appropriate to their work (Standard 3.2.2), and many councils expect you to show evidence of it on request. An up-to-date register makes those conversations quick and stress-free. Good to know: Food Safety Supervisor requirements are not the same everywhere. Whether an FSS is mandatory, who qualifies, and how often the certificate must be renewed vary by state or territory and sometimes by local council. Always check the rules that apply to your venue. The Certifications tab shows every staff qualification and its expiry status. How to add a certification Open Training from the sidebar. Switch to the Certifications tab. Click Add Certification . Select the team member the certificate belongs to. Enter the certification name , for example "Food Safety Supervisor". Set the issue date and the expiry date shown on the certificate. Optionally record the certificate number and issuing body so the record is easy to verify later. Save the certification to add it to your register. Tips for accurate records Enter the expiry date exactly as printed on the certificate, not an estimate. Add the issuing body (for example, the registered training organisation) so an inspector can confirm it. Record certificates for every team member who handles food, not just supervisors. How expiry alerts work Once a certification is on file, FoodSafety HQ watches the expiry date for you. When a certificate is due to expire within 30 days, it appears as an urgent alert on your dashboard , giving you time to book a renewal before the qualification lapses. Acting on alerts early keeps your venue compliant and avoids the scramble of an expired supervisor certificate being discovered mid-service or mid-audit. Common certifications to track Food Safety Supervisor (FSS) — required in many states and territories; the rules and renewal periods vary by location. Food handler training — evidence that staff have the food safety skills and knowledge their role requires. First Aid — often expected where a venue has a certain number of staff; check your workplace obligations. RSA (Responsible Service of Alcohol) — required for staff serving alcohol.
