Food Safety Supervisor Software & FSS Register
Food Safety Supervisor (FSS) register software, track certificates, 5-year expiry and 90/30/7-day reminders, and never lose FSS coverage under Standard 3.2.2A.
How to get started with Food Safety Supervisor
- Record each Food Safety Supervisor certificate against the staff member and venue it covers, entering the completion date and the units attained.
- Link each supervisor to the venue or venues they cover. FoodSafety HQ builds a live coverage view and flags any site left without a current FSS.
- The register tracks each five-year expiry and emails reminders at 90, 30 and 7 days, so certificates are renewed on time and supervision never lapses.
Frequently asked questions
Do I legally need a Food Safety Supervisor?
Under Food Standards Code Standard 3.2.2A, enforceable nationally since 8 December 2023, most food businesses that handle unpackaged, potentially hazardous food must have a certified Food Safety Supervisor (FSS). The FSS is Tool 1 of the standard's three food safety tools, and a certified supervisor must be reasonably available to the business whenever food is being handled.
How long is an FSS certificate valid?
A Food Safety Supervisor certificate is issued as a Statement of Attainment and is valid for five years. After five years the supervisor needs to re-certify to remain current. FoodSafety HQ calculates the expiry from the completion date and reminds you at 90, 30 and 7 days before it lapses.
What happens if my FSS certificate expires?
Once a certificate passes its five-year validity the supervisor is no longer certified, and if they were the only FSS covering a venue, that site no longer meets Standard 3.2.2A. FoodSafety HQ flags the venue as having no current FSS on record so you can arrange re-certification or assign another certified supervisor before it becomes a compliance issue.
Which units make up an FSS certification?
For most hospitality and food-service businesses, FSS certification is the units SITXFSA005 (Use hygienic practices for food safety) and SITXFSA006 (Participate in safe food handling practices). Retail food businesses can instead use SIRRFSA001. The units are completed through a Registered Training Organisation and issued as a Statement of Attainment.
Does a Food Safety Supervisor have to be on site at all times?
No. Standard 3.2.2A requires that a certified FSS is reasonably available to the business during food handling operations, which can be in person or contactable by phone, rather than physically present every minute. For businesses with multiple venues or long trading hours, this usually means certifying more than one supervisor so coverage is continuous.
How does FoodSafety HQ help manage Food Safety Supervisors across multiple venues?
You record each FSS certificate against a staff member and assign which supervisor covers which venue. FoodSafety HQ then shows live coverage across all your sites, tracks every five-year expiry, sends email reminders at 90, 30 and 7 days, and raises a dashboard alert the moment any venue has no current FSS on record.
