Without a plan, staff improvise: they open the coldroom to check, prop doors while they debate, or worse, keep serving food that has been in the danger zone for hours. Time and temperature are the only things that matter, so the plan is built around both. The first five minutes Record the exact time the power failed. Everything else is measured from this moment. Keep all fridge, freezer and coldroom doors closed. Do not open them to check. Turn off or switch to safe mode any cooking equipment that was left on. Stop preparing and serving potentially hazardous food that relies on refrigeration or hot holding until you can assess it. Notify the manager and, if the outage looks prolonged, the energy provider for an estimated restoration time. Time thresholds: how long is food safe? 0-2 hours: keep doors closed and monitor the clock. Most closed commercial fridges hold safe temperatures during this window. 2-4 hours: if you have a probe and can check quickly, assess high-risk items. Move stock to a backup unit or generator-powered fridge if one is available. A full freezer, kept shut, will typically stay frozen well beyond this point. 4+ hours: assume cold potentially hazardous food has been in the danger zone. If it is above 5°C, discard high-risk items such as raw meat, dairy, cooked rice and prepared salads. These are practical planning windows, not guarantees. Generator and backup priorities If you have limited generator capacity, decide the order in advance so nobody wastes time debating it during the outage: Walk-in coolroom holding the most high-value, high-risk stock. Freezers — although these hold longest with doors shut, so they can often wait. Critical hot holding only if you intend to keep trading safely. Anything that cannot be kept at or below 5°C or at or above 60°C should be taken off the menu until power is stable. The keep-or-discard decision When power returns, do not trust appearance or smell. Potentially hazardous food can look and smell normal while carrying an unsafe bacterial load. Probe each key item: At or below 5°C the whole time: safe to keep. Above 5°C for under 2 hours: use immediately or return to refrigeration. Above 5°C for 2 to 4 hours: use now, do not re-refrigerate. Above 5°C for over 4 hours: discard. Frozen food that has fully thawed: do not refreeze; treat as chilled and apply the rules above. Documenting the outage for inspectors and insurers Both council inspections and insurance claims rely on records. For every discard, capture the product, quantity, last known temperature, the outage start and end times, the action taken and a photograph. A well-documented outage supports a stock-loss claim and demonstrates to an Environmental Health Officer that you managed the risk correctly. Well-maintained seals and full fridges — a packed, well-sealed coldroom holds temperature far longer than a half-empty one with worn gaskets. Staff drills so everyone knows the first five minutes without hunting for a manual. An up-to-date insurance policy that covers stock loss, with the excess and conditions understood in advance. Spending a little on prevention is almost always cheaper than a coldroom full of discarded stock. Communicating during and after an outage Decide in advance who makes the trade-or-close call. If the outage is short and food stayed at or below 5°C, you may keep trading safely with a limited menu.
