Refrigerated van: the best option for longer events, large volumes or multiple drops. Pre-cool the van before loading so it is not warming the food while it catches up. Insulated hot boxes (Cambro-style): for hot food that must be held at or above 60°C. Pre-heat the box and load food that is already at or above 60°C. Pre-departure checks Do these before the van doors close: Probe and record the temperature of each cold and hot item. Cold should be at or below 5°C, hot at or above 60°C. Pre-cool the refrigerated van, or pre-heat hot boxes, before loading. Load cold and hot food into separate, correctly conditioned containers. The 2-hour/4-hour method is ideal for catering because it accepts that food will not always be under strict temperature control during transport and service: Under 2 hours in the 5°C to 60°C range: refrigerate or use immediately. 2 to 4 hours: use the food now — do not return it to the fridge. Over 4 hours: discard the food. The clock is cumulative across the whole day: loading, driving, setting up and displaying all count. This is why recording your unloading time matters. On-arrival and service checks When you reach the venue, probe and record temperatures again before you set up. If cold food has been above 5°C for more than 2 hours in total, apply the 2-hour/4-hour decision. Pre-departure temperatures, transport times, on-arrival readings and discard logs are the difference between demonstrating a controlled process and having no answer. Capturing them as you go, with timestamps, removes the temptation to fill in a paper sheet from memory at the end of a 12-hour shift. Packing and equipment checklist for every job Most catering food safety problems trace back to something left behind or packed wrong. Build a standard pack list so nothing critical is forgotten: A calibrated probe thermometer plus a spare, and probe wipes. Pre-frozen ice packs or gel bricks, enough to fully surround cold product. Separate, clearly labelled insulated containers for hot and cold food. Sanitiser, disposable gloves and hand-washing supplies for the venue. Cling film, foil and clean containers for covering food on display. A timing sheet or app to record loading, arrival and service times. Load cold product last and unpack it first so it spends the least time out of the cold chain. Hygiene and setup at the venue Off-site kitchens rarely have the facilities of your base. Confirm in advance that there is access to hand-washing, power for any hot boxes or fridges, and a clean surface for plating. Set up a hand-washing point with soap and paper towel before any food is handled, and keep raw and ready-to-eat items strictly separated on separate tables and boards. Do not use guest bathrooms as your only hand-washing option for food handlers. If the venue cannot provide safe facilities, bring your own or reconsider the menu so that high-risk items are minimised. Choosing a lower-risk catering menu Menu design is a quiet but powerful food safety control for off-site work. Where facilities are limited or transport times are long, favour dishes that are more forgiving: items served cold from a well-iced container, robustly cooked and hot-held mains, and components that can be assembled fresh on site rather than pre-made and held.
